Configuring Universal Patient Access

Clinic Configuration

Clinic Owners can manage this feature via the “Enable Universal Patient Access” setting in Clinic Settings, under the "Configuration" tab.

Stacked Organizations

For Organizations with a Stacked Account Structure, the Master Clinic Admin can decide if Universal Patient Access should be enabled across the Organization (all sub-clinics), or within each sub-clinic.

A “Universal Patient Access” setting can be found in Organization Settings, under the "Configuration" tab.

There are 3 different options:

Off

Universal Patient Access disabled for everyone across the organization

Clinic Wide

Universal Patient Access will be available within each sub-clinic. Therapists can only search for patients within their clinic. Each clinic admin also has the flexibility to enable or disable this feature.

Organization Wide

Universal Patient Access will be enabled across all sub-clinics in the organization. Any therapists with access to this feature will be able to search for a patient in any other sub-clinic.

Managing Patient Record Fields

Clinic Admins can select patient record information to be shown to providers using Universal Search. These records will appear on the “Universal Search” view of the Patient List to help providers identify the patient(s) they’re looking for. The patient creation date will appear by default.


Clinic Admins can select up to two fields to display. Admins can add or remove fields by going to the Patient Profile tab in the Clinic Settings page. To select a patient record field to display, first select a profile section to edit. Under the field you want to add, check the box for “Display in Universal Search”. Save the changes.

In this example, “Date of Birth” has been added as a patient record field to help therapists accurately identify a patient.

Therapist Permissions

Permissions can now be configured for individual therapists. Permissions can be edited by going to the ‘…’ menu, and clicking “Edit Permissions”

From here, you will be able to select the permissions you would like to grant the therapist. There are currently two therapist permissions:

  • Access to view universal patient list

    • Allows therapists to search for any patient in the organization or clinic.

  • Ability to self-assign patients

    • Allows therapists to assign themselves as the provider to patients in their organization or clinic.

Therapist Self-Assign Notification for Clinic Owners

Admins can be notified when therapists in their clinic have assigned themselves to a patient. By default, notification emails will be sent to Clinic Owners.

Admins can manage this notification under the "Preferences" tab in their “Settings” page.
